4Focus CRM · bespoke software from Switzerland

A CRM that speaks your language

Not a rented system you have to squeeze your business into. We build the software around your process – starting with the one area that costs you the most time today. Everything else follows later, when you need it.

★★★★★In use at practices, workshops, agencies and public administrations
Why not simply a standard CRM

The most expensive software is the one people work around every day

Almost every business renting a large standard system keeps its spreadsheets alongside it. Because the system demands twenty fields where three would do. Because the one report that matters is not provided. Because the adjustment that would solve everything is not included in the licence model.

You pay regardless – per user, per month, forever. And the data sits somewhere.

Our approachThe process first, then the software. Never the other way round.

Three systems, three worlds

Same foundation, entirely different software

From the same workshop – and still each system has its own language, because every business works differently.

Therapy practice

Patients, prescriptions, services, session records. Billing runs separately per municipality, hours are read in from lists by AI, and the system spots overdue invoices itself and proposes the right reminder stage.

Workshop with online shop

Orders arrive automatically from the shop, products and stock levels are reconciled, open jobs appear in the delivery calendar. An AI assistant answers questions about the business – «what is urgent today?»

Digital agency

Pipeline, opportunities, cold outreach and contracts with digital signature. Serial emails are individualised per recipient, follow-ups are automated, and accounting hangs directly off the customer record.

The path

Start small, then grow

01

Core

Customers, contacts, tasks, documents and the report you need daily. Usually in use within a few weeks.

02

Sales

Pipeline, quotes, contracts with digital signature, automatic follow-up. The point at which the system first pays for itself.

03

Administration

Invoices with Swiss QR payment slip, reminders, incoming payments, receipts captured by photo.

04

Intelligence

AI search across the whole database, automatic filing, text suggestions, reports that flag anomalies by themselves.

Building blocks

What you can add later

Accounting & QR invoice

Receivables, payables, Swiss QR payment slip with the correct reference, reminder runs at the push of a button. The export for your fiduciary is built in.

Contracts & digital signature

Generate a contract from customer data, send it, have it signed – in the browser, on a phone too. The signed PDF lands automatically in the customer file.

Individualised serial mail

Not a circular with mail-merge charm: the AI adapts every message to the recipient’s industry and history – you approve before anything goes out.

Customer portal

Your customers see their orders, invoices and documents themselves and upload files. Every question that becomes unnecessary is one phone call less.

Shop & system integration

Online shop, accounting software, calendar, phone system: what you already use gets connected instead of replaced.

AI assistant

Questions in plain language to your own data: which customers have been quiet for six months? How is my month going? Answers from your figures, not from the internet.

Company data automatically

Enter the UID and the commercial register data arrives by itself – including a credit note before you write a large quote.

Receipts captured by photo

Photograph a receipt; amount, date and supplier are recognised and assigned to the right booking. The shoebox disappears.

Phone assistant

Calls outside office hours are taken by Suisse Line and filed as a task in the CRM – where you work anyway.

Working together

How we invoice

That depends on the scope – a serious answer is only possible after a conversation. As a guide: a clean core for a small business is in the low five figures, extensions are quoted individually. Compare it against the annual cost of a rented system for your team – the point where building your own pays off is often closer than expected.

The core is usually productive within four to ten weeks. We deliberately start with one area so that you work with it early – experience from daily use improves any requirements list.

It gets migrated. Excel lists, address records, open invoices, documents – we check the quality beforehand and tidy up as we go. Old data graveyards are deliberately archived rather than migrated.

Then you receive your data in common formats and the documentation of your system. We build no artificial hurdles – whoever should stay has to convince, not lock in.

Only if you want it to. Often a connection makes more sense: the CRM stays the interface for daily work, the accounting does what it does well. We say openly when connecting beats rebuilding.

Next step

Show us your most awkward workflow

We will look at it together and tell you honestly whether your own solution is worth it – or whether a standard product would be cheaper for you. Both are useful answers.
